Overview of the provider portal

Get to know your provider portal and everything you need to start, manage, and grow your practice on Fay.

The provider portal is your home base for managing and growing your practice on Fay. Whether you’re new to Fay or looking for a refresher, this guide will show you where everything lives and how to use the key tools available to you.

We recommend going through the guide from top to bottom the first time. After that, jump back to any section whenever you need a refresher.

Dashboard


The Dashboard is your homepage, giving you a quick view of your practice and easy access to the tools you’ll use most.

1) Track your practice performance

See your key practice metrics and how patients are moving through their care journey with you - from discovering your profile to continuing care over time. Select any metric to learn more and see opportunities to improve your metrics.

2) Boost your profile visibility

Profile visibility boosters are optional and give you more ways to increase your visibility on Fay and connect with new patients.

You can:

  • Offer free initial consultations: Reinvest your initial consultation payout into promoting your profile to help attract more prospective patients.

  • Enable on-demand bookings: Fill last-minute openings by allowing patients to book appointments starting within the next 24 hours and as soon as one hour in advance. When enabled, your profile will display an Available now tag.

You can turn either booster on or off at any time and use them separately or together.

3) Keep track of your earnings

Get a quick view of your earnings, including payouts you’ve received and earnings that are pending or scheduled. You can also track your monthly billable hours and progress toward a full-time practice bonus.

4) See today’s appointments

See your upcoming appointments for the day at a glance. Select an appointment to view its details, join the session, or make changes.

5) Share your personal booking link

Your personal booking link makes it easy to bring your own patients to Fay. You can copy your link or share it directly via text, then add it anywhere you promote your practice. You earn $25/hr more for patients you source.

6) See your patient reviews

View written reviews from your patients. Reviews appear on your Fay profile and can help prospective patients feel confident booking with you.

7) Get support

Select the Fay support icon in the bottom-right corner whenever you need help. Our AI assistant can answer most questions immediately and connect you with a Provider Support Specialist when needed.


Insights


The Insights tab is your central hub for understanding and growing your practice.

Here, you can see how patients are progressing through their care journey and dive deeper into the key practice metrics featured on your Dashboard.

For each metric, you’ll find what it measures, why it matters, and opportunities to improve, making it easy to identify where to focus as you grow your practice and any areas where patients may have dropped off.


Calendar


The Calendar is where you manage your availability and appointments on Fay. From here, you can control when patients can book with you, join appointments, and complete your chart notes.

1) Set your availability

Select set availability to add or update your recurring availability for virtual and in-person appointments. Any open availability on your Fay Calendar can be booked by patients, so keep it accurate and up to date. Make sure you have multiple 90-minute slots available, since initial appointments are shown as 90-minute time slots!

2) Manage and join appointments

All of your scheduled appointments appear directly on your Calendar. Select an appointment to see everything you need for that session in one place.

a) View your patient details

See who you’re meeting with and quickly access their patient profile.

b) Manage and join the appointment

Review the appointment details. From here, you can join the appointment, edit or delete the appointment, or update its status if it was canceled or a no-show/last-minute cancellation.

c) Access your chart note

Access your chart note to document each session and complete the required documentation for reimbursement. You can also turn on the chart note scribe to help streamline the charting process.

3) Schedule appointments and block time

Select an open time on your Calendar to schedule an appointment with an existing patient or block time when you’re unavailable.

When scheduling, you can choose the patient, appointment length and type, and appointment cadence. When you block time, that period will no longer be available for patients to book.

💡 Tip: Connect your Google Calendar under Settings → Account & integrations to help prevent double bookings.


Patients


The Patients tab brings everything you need to know about your patients together in one place.

1) View your patients

See your full patient list, search for a specific patient, and quickly view details like their next appointment.

Inactive patients, including those who have deleted their Fay account or switched providers, will appear at the bottom of your list. For patients without an upcoming appointment, you can send a nudge to encourage them to book their next session!

2) View a patient profile

Select a patient to see their contact and demographic information, intake and release forms, and upcoming and past appointments. You can also open previous appointments to reference past chart notes.

Within each patient profile, you’ll find a few additional tools:

a) Recap

Get a quick summary of important information about your patient, including personal details, recent conversations, and lifestyle factors.

b) Progress

Track patient health information over time, including historical weight from your chart notes and eligible patient-recorded entries. You can also review lab work patients have shared with you.

c) Goals

See the goals your patient is working toward, including SMART goals you’ve set through their chart notes and goal activity from the Fay app.


Chat


Fay Chat is a secure, HIPAA-compliant way to stay connected with your patients between appointments.

From Chat, you can:

1) Message your patients

Send and receive secure messages, search past conversations, filter for unread messages, and mark messages as unread to return to later.

2) Share more than messages

Securely share files and photos and review labs and journal entries your patients send to you.

3) Use the Research Assistant

Use the Research Assistant at the top of Chat to quickly search trusted nutrition research and find information to support your patient care.


Payouts


The Payouts tab is where you can track your earnings and manage your payout information. Fay pays you monthly, between the 15th and 20th, for appointments completed during the previous month.

1) Review payout history

See a breakdown of your monthly earnings. Your earnings update after you complete and sign an eligible chart note, so you can see what you’ll earn for each appointment.

2) View deposit history

See a record of payouts deposited into your bank account.

3) Manage pay details

Review or update the bank account and personal information associated with your payouts.

4) Access payout documents

Find tax forms and other payout-related documents once they’re available.

5) View your rates

Select view rate table in the upper-right corner to review your rates.


Meal Planner


The Meal Planner helps you quickly create a one-day meal plan for a patient.

Enter a few details, including the type of meal plan, calorie target, and relevant lifestyle information, then generate a plan you can review and edit before sharing with your patient.


Settings


Settings is where you manage your account, patient-facing profile, integrations, communications, and credentials.

1) Manage your provider profile

Update your photo, preferred name, bio, specialties, approach to nutrition therapy, modalities, appointment formats, and other information prospective patients see on your Fay profile.

2) Manage your account and integrations

Review your time zone, connect your Google Calendar, and manage other account settings.

3) Customize patient messages

Create automatic welcome messages for new patients and custom nudge messages for patients who don’t have another appointment scheduled.

4) Keep your credentials up to date

Review and maintain important professional information, including your CDR registration and professional liability insurance.
