How do I set or manage my availability?
To update your availability in Fay, navigate to the Calendar section and follow these steps:
Navigate to Calendar on your sidebar menu
Select Set Availability in the upper right-hand corner of your screen
Select In-person or Virtual depending on the type of availability you would like to set up
Select the days and times you are available
Click Save Availability
How do I block a certain time on my calendar?
To block time on your Fay calendar:
Click the time on your calendar that you would like to block
Select Block Time at the top of the page
Update the time frame and date range of your calendar block
Select Block Time at the bottom of the page
How do sync my personal calendar with Fay?
To sync your personal calendar with your Fay calendar:
Click Settings in the bottom-left corner of your screen
Click Account & Integrations
Under Integrations, select Connect to sync your Google Calendar with your Fay Calendar
How much availability should I set?
The more availability you have, the higher the chance your openings work for prospective patients. In the early stages of building your private practice, opening up additional hours can make a meaningful difference in attracting new patients.
What is the minimum amount of availability I should add to my calendar?
There is no minimum number of available hours required on Fay. That said, if you are hoping to receive new patient referrals, having more availability increases the likelihood that a new patient will find an opening that works for them.
Can patients see events on my calendar?
No, patients cannot see the events on your calendar. Patients can only see the dates and times that you are marked as available.
Troubleshooting your availability
Why does my availability show up on my calendar but not on my Fay profile?
Availability appearing on your Fay calendar may not immediately reflect on your Fay profile due to how patient booking windows work. Patients can book initial consultations through your Fay profile up to two weeks in advance, and up to one year in advance through your booking link. Once a patient has had an initial appointment with you, they will appear in your patient list and you can book follow-up appointments directly from your Fay calendar at any time.
Availability may also not appear if time blocks are too short. Initial appointments require up to 90 minutes, and follow-ups require up to 60 minutes. Fay will not display availability that is shorter than these durations. To ensure availability appears for new patients, you should set availability blocks to at least 90 minutes.
Additionally, availability will only be visible on your Fay profile if “Accepting Fay referrals” is turned on. If this toggle is turned off, patients will not be able to book through your profile. However, you can still share your personal booking link to schedule patients directly.
How do I close my calendar to new patients?
To close your calendar to new patients, remove your availability in Fay. Once all of your availability is filled with existing patient appointments, new patients will not be able to book with you. If you have an unexpected opening you do not want available to new patients, add a block to your calendar or remove your availability for that time.
