How do patients schedule an initial consultation?

Patients can schedule their initial consultation independently, either through your Fay profile or your personal booking link.

How do I schedule a follow-up appointment?

Once an initial consultation has taken place, you can book follow-up appointments directly in Fay in three ways:

  1. From your Calendar, select the time you would like the appointment, then select the correct patient, session details, and appointment frequency

  2. Click Clients on your sidebar navigation, select the calendar icon for the patient you would like to schedule a follow-up appointment for, then select the correct session details and appointment frequency

  3. At the bottom of the chart note, in the Format required for insurance section, select the correct session details and appointment frequency to schedule a follow-up directly from the note

Cancelling and rescheduling appointments

Can patients cancel or reschedule appointments?

Patients can cancel or reschedule via Fay up to 24 hours before the appointment start time. Patients who need to cancel with less than 24 hours notice must contact you directly and may be subject to a late cancellation or no-show fee at your discretion

How do I cancel an appointment?

To cancel an appointment in Fay, click on the appointment in your calendar and update the appointment status to Cancelled.

How do I reschedule an appointment?

To reschedule an appointment in Fay, click on the appointment, select Edit Session at the bottom of your screen, and update the date and time to reflect the new appointment time.

No-show/last-minute cancellations

Does Fay collect a cancellation fee for no-shows or last-minute cancellations?

Fay does not automatically collect a cancellation fee. Charging a no-show or last-minute cancellation fee is at your discretion. You can apply this in cases where a patient did not attend or failed to cancel within 24 hours of the appointment.

How do I charge a no-show or late cancellation fee?

You can charge a no-show or last-minute cancellation fee in the following situations:

  • No-show: your patient did not attend the appointment and did not notify you of the need to cancel

  • Last-minute cancellation: your patient canceled less than 24 hours before the appointment start time

Patients are informed at the time of booking that a fee may apply in both of these situations. To charge the fee, mark the appointment status as No-show / last-minute cancellation in Fay.

Tip: Before charging the fee, it is common practice to call your patient's phone number on file to confirm they are okay or not having trouble joining the session.
